SalesQuotations, sales orders, price lists and the dashboard

From the first quotation to the money in the bank.

Price a quotation from the customer’s own list and send it. When they say yes, it becomes a sales order in one step. The order makes its delivery, the invoice is made from the order, and each document keeps a trace back to the one before it.

An example company and example figures. Meridian Supply approved the quotation in its portal; one step turned it into the order.

One quotation, all the way to its invoice.

Meridian Supply wants forty cartons of Khalas dates before Ramadan. Here is QT-0107 on its way to an invoice, one step at a time.

1

Priced from their list.

Meridian buys on your Wholesale list. Choose the product and the price comes from the list, with a note on the line saying where it came from: a fixed AED 300.00 a carton.

  • A product rule beats a category rule, and the highest quantity tier wins.
  • A note on the line is for the team, and it never prints.
2

Approved in their portal.

Mark it sent and it waits in Meridian’s portal for a decision. Layla approves it there, signing with her name, and the quotation turns Confirmed.

  • If she declines it instead, it turns Cancelled.
3

One step to a sales order.

Convert to Sales Order asks once, then makes SO-0093 with every line, price, discount and term from the quotation. The button becomes a note of the order it made, and the trace links the two.

  • The order starts as a draft, so the warehouse and delivery date can be checked before it’s confirmed.
4

Confirm it, and the delivery is waiting.

Confirming SO-0093 creates its delivery in Inventory there and then. When the warehouse validates it, the cartons leave the shelf at their cost, and the order turns Delivered by itself.

  • Short of stock, confirming warns you first, and the delivery waits for the goods.
5

Invoice what you delivered.

Create Invoice makes a draft invoice from the order, with its lines, prices and payment terms. The button then reads Open draft invoice, so nobody makes it twice. Once it’s posted, Invoice the rest bills whatever is left on the order.

  • The order turns Invoiced once its posted invoices cover every line.

The month, in one sentence.

The Sales dashboard opens on revenue for the month against the period before it, what customers owe and how much of that is late, and the quotations and orders still open.

  • A funnel from quotations to orders to invoices, with the conversion at each step.
  • What’s owed, aged from current to over 90 days.
  • Your top five customers for the period you pick.

What it posts, and when.

A quotation and an order are promises, so they post nothing. The delivery, the invoice and each payment post their own balanced entry, with codes and names from the chart a new UAE company starts with, and your bank’s own account.

Also in Sales.

Cartons and other packagings

Sell by the pack. The line shows how many base units that is, and prices the pack at one unit’s price from the customer’s list, times its size, in the document’s currency.

Price lists, published

Publish a sale list as a read-only page of prices, with the dates it holds and rounding if you want it.

Other currencies

Quote in dollars or euros. The rate fills in from your settings, and the total shows in dirhams beside it.

Discounts that lower the VAT

A discount on the whole document, as a percentage or an amount, typed before VAT or including it. Either way the VAT is worked out on what the customer pays. It carries over to the order and the invoice.

Prices with VAT in them

Type and read prices with VAT included, and Tamra keeps the price before tax underneath.

Reports for the sales team

Aged receivables, revenue by customer, sales by period with VAT apart, and each salesperson’s revenue, conversion and collections.

See your own sales on Tamra.

Bring a quotation you sent last week. We’ll price it from a list, turn it into an order and invoice it together.
