Paid by card, and already in the books.

Post an invoice and it’s locked, with a trace back to the order it came from. Once online payments are switched on, it can carry a card payment link: when the customer pays, the payment and the gateway’s fee are booked and the invoice turns paid by itself. Credit notes and reminders work from the same invoice.

An example company and example figures. Meridian Supply paid INV-0042 through its card link; the gateway’s fee is booked with it.

One invoice, from posted to paid.

INV-0042 was made from Meridian’s sales order for forty cartons of dates. Here it is from the moment it’s posted, through the card payment, to the credit note and the reminders you’d reach for if things went differently.

1

Posted, and locked.

Posting books the invoice and locks it. The trace links it back to SO-0093 and the quotation before it, and the bar beside the trace fills as the money comes in.

  • Until a payment is recorded, Unpost cancels its entry and makes it editable again.
  • Send prints it or emails it in your own template.
2

A link to pay by card.

Create link asks the gateway for a card checkout for the open amount. Copy it to Meridian: it works for 24 hours, and Refresh status shows where it stands.

  • Online payments are switched on per company, in Settings.
  • Customers with a portal can pay an open invoice there too.
3

Paid, and booked.

When Meridian pays, the payment is recorded against the invoice into Gateway Clearing, the gateway’s fee goes to Bank Charges, and the invoice turns Paid without anyone touching it.

  • Record Payment steps aside, and Send takes its place.
  • The payment opens in the register and prints a receipt voucher.
4

Credit some or all of it.

Credit Note opens with what’s left of each line already filled in, so it credits the whole invoice unless you lower a quantity. It posts at once, reversing each line’s own revenue and its VAT.

  • It settles what’s open on the invoice by itself. On an invoice already paid, apply the credit to another one or record a refund.
  • Tick Customer returned the goods and the cartons come back from their delivery, at the cost they left at.
5

Reminders, once it’s late.

Collections lists the late invoices whose reminder is due: a gentle one 3 days after the due date, a firmer one at 14, a final one at 30. Each goes once, and only the strongest that’s due.

  • Autopilot is off until you switch it on. Then due reminders go out at 9:00 each morning, Dubai time.
  • Each step has its own wording, from “A gentle reminder: invoice INV-0044 is due” to “Overdue: invoice INV-0021 — please arrange payment”.

Your invoice, in your look.

Settings → Templates shows the invoice exactly as it prints. Start from one of nineteen looks, then change the fonts, colours, sections and paper, and save it as the default.

  • Ten business looks and nine for shops, each shown with your own name on a sample order.
  • Fonts that print the same on any computer, fourteen palettes and seven papers.
  • Use the same design on quotations, orders, bills and purchase orders.

What it posts, and when.

The invoice posts when you post it. The card payment posts when the money is taken, with the gateway’s fee as its own entry, and a credit note reverses exactly the lines it credits. Codes and names come from the chart a new UAE company starts with.

Recurring invoices

Keep a template for each regular bill. Run All Due makes the ones that are due as drafts, dated today, for you to check and post.

Statements of account

Every invoice and payment for a customer over any period, with the balance aged, to print or email.

Advance invoices

Take a deposit on an advance invoice, then take it off the final invoice with Apply Advance.

Other currencies

Invoice in dollars or euros at the invoice’s rate. A payment at another rate posts the difference to exchange gain or loss.

Receipt vouchers

Print a receipt voucher for any payment, straight from the invoice’s Payments tab.

Paying from the portal

A customer with portal access sees what’s open. With online payments on, they pay there; otherwise they can ask you for a link.

Bring last month’s invoices. We’ll post one, send its payment link, and show you where every dirham lands.
