PurchaseRequests for quotation, orders, receipts and bills

Pay for what arrived, at the price you agreed.

Ask suppliers for prices, order, and receive into stock. When the bill comes, Tamra reads the supplier’s own PDF into a draft and checks it against the order and what arrived. Nothing reaches the books until you post it.

An example company and example figures. The bill on the left was read from the PDF on the right, in the browser.

One bill, from the supplier’s PDF to the books.

Sahara Packaging sends its invoice for the cartons on PO-0031. Here’s what happens to it, one step at a time.

1

Start from the supplier’s own invoice.

Choose From a file and drop in the PDF they sent, or a photo of it. A PDF made by software is read from its text; a scan is read by OCR. Either way it happens in your browser, and no AI service sees it.

2

Read, then cross-checked.

Vendor, dates, totals and every line become a draft bill. The figures are checked against each other, the vendor is matched by their TRN, and anything uncertain is listed for you to look at.

  • The supplier’s invoice number goes into the notes, with the file’s name.
  • The PDF opens beside the bill, and stays attached to it once saved.
3

Freight goes onto the goods.

Tick Landed cost on the freight line and it’s shared over the goods on the order by their value, so each carton carries what it cost to reach your shelf. Goods still on their way wait for their share; goods already sold leave it on the freight account.

  • Stock lines settle goods received not billed by themselves, because their cost reached inventory when the goods arrived.
4

Matched three ways before you post.

Each line is checked against what was ordered and what was received, and its price against the order. The dividers came in at 1.65, not the 1.50 agreed, and the bill says so. It never stops you posting; it makes sure you know.

5

Posted, with its trace.

Save & Post books the bill and clears what the receipt parked in goods received not billed. The bill keeps its trace back to PO-0031 and to its journal entry, and the PDF stays attached as the file it was read from.

  • Record the payment here, or let the bank line match it in reconciliation.

Ask three suppliers. Order from one.

A request for quotation lists what you need and who you’re asking. As each supplier’s quote comes in, enter it, and Tamra lines them up item by item with the lead times. Award one, and the order is drafted from it.

  • Lowest price per line and the best total are marked for you.
  • A target price of your own, kept off the request.
  • Confirming the order creates its receipt in Inventory, ready for the goods.

What it posts, and when.

Three documents, three balanced entries, each opening the document that made it. Codes and names are from the chart a new UAE company starts with.

Also in Purchase.

Debit notes

Debit some or all of a bill. Stocked goods go back to the supplier through a vendor return, and the original bill stays as it was.

Bills in other currencies

A bill in dollars is paid at the day’s rate, and the difference from the bill’s own rate is booked as exchange gain or loss.

What you owe, by age

Spend by month, what’s owed to suppliers from current to over 90 days, and your top vendors.

Bill what was received

Create the bill from the order for what has arrived, or for the whole order ahead of the next shipment.

Files beside every bill

Attach the delivery note and the invoice, and open either in the PDF workbench to stamp or sign.

Advances to suppliers

Pay ahead of the bill and apply the advance when the bill arrives.

Bring one of your supplier invoices to the demo. We’ll read it into a bill together and match it to its order.
