ExpensesClaims, receipts, approvals and paying back

Read from the receipt, posted when you approve.

Your team adds their receipts and Tamra reads each one into a line of the claim: the amount, the VAT, the supplier and their TRN. You approve, and the entry posts. Then pay it back by transfer, with the salary, or from an advance they already hold.

An example company and example figures. Each line was filled from the receipt beside it, read in the browser.

One claim, from the receipts to the bank.

Aisha Rahman drove to Abu Dhabi to see a customer and kept her receipts. Here is her claim, one step at a time.

1

Receipts in, lines filled.

Attach a receipt to a line, or add several at once and each becomes a line. Tamra reads the amount paid with its VAT, the VAT inside it, the supplier, their TRN, the receipt number, the date and the currency, and fills only what is still empty.

  • It reads in your browser: a PDF from its own text, a photo by OCR. No AI service sees the receipt.
  • Where the receipt disagrees with what was typed, the line says so.
2

The same receipt twice is caught.

Every line is checked against the company’s other claims: the same file, the same supplier TRN and receipt number, or the same receipt number and amount. The line says whose claim it is on, which line and how far it has got, and the approver sees the same note before deciding.

  • The same amount on the same day only gets a softer note. Two taxis at 25.00 can both be real.
3

Mileage at the rate you set.

A category can pay a rate per km. Enter the distance and the line is paid distance × rate, with no receipt to attach and no VAT to recover. The claim keeps the rate it was made at.

4

Approved, and posted.

Approving posts the claim’s entry at once: each line to its expense account, recoverable VAT to VAT Input, and the total to what the company owes the employee. They are told it was approved.

  • Rules per category: a receipt needed above an amount, and a limit per line that the approver sees flagged.
  • Claims can go to the employee’s manager first. After three days, every approver sees them.
5

Paid back the way you choose.

Pay it back by transfer, cash, cheque or card, and the entry clears what the employee is owed. Choose With the salary and it is added to their next payslip, then cleared when that payroll run is approved. From an advance settles it from money they already hold.

  • When the transfer shows on the bank statement, match it in reconciliation.

Money given before it is spent.

Give an employee an advance before a trip. Their approved claims are settled from it, and whatever is left comes back. Giving it, settling from it and taking the rest back each post their own entry.

  • A claim bigger than what is left takes the rest from the bank.
  • Kept in the asset account your company chooses for advances.
  • What is out on advances shows on the Expenses dashboard.

What it posts, and when.

A claim posts when it is approved and again when it is paid back; an advance posts when it is given. Codes and names are from the chart a new UAE company starts with.

  1. EXP-0042The claim, approved

Tamra’s screens call 2120 Employee payables: what the company owes Aisha until she is paid back. The client dinner is No VAT, so all 378.00 is the expense. Each line posts on its own; here they are summed by account.

  2. EXP-0042Aisha is paid back

The debit goes to the account your company chose to keep advances in; this one chose Employee Receivables. Claims settled from the advance credit it back.

Also in Expenses.

A claim from a pile of receipts

Choose several receipt photos or PDFs, and a new claim opens with a line for each, read for you.

Bill it to the customer

Mark a line billable, with a markup if you like. Once approved, it goes onto a draft invoice for that customer for you to check.

Correct a posted claim

Change an account, the VAT or a line after approval. The entry is reversed and posted again, and the claim keeps its number.

Receipts in other currencies

Each line has its own currency and rate from your exchange rates. VAT paid abroad is set to No VAT, since it can’t be recovered here.

What is waiting, at a glance

Claims by stage, what is owed to staff, what waits for payroll, advances still out, and spend by month and category.

Approve on your phone

Claims waiting for you appear under Approvals on the phone’s Home, beside leave requests.

Bring a few receipts to the demo, a fuel slip and a hotel bill will do. We’ll read them into a claim together and approve it.
