PDFPages, letterhead, stamps and signatures

A PDF workbench, built in.

Open a PDF, a scan or several files at once, and work on them beside your books. Arrange the pages, put your letterhead on, stamp and sign, black out what others shouldn’t see, then save it to the Library, as a new document or as the next version of the one you opened. Nothing you opened is overwritten.

An example company and example figures. The letterhead is the company’s own, uploaded once in Settings.

One invoice, from plain page to signed copy.

Meridian Supply asked for a stamped, signed copy of INV-0042, with its delivery note and receipt. Here’s how Sara puts it together.

1

Put the pages in order.

Open the three files together and they become one PDF. In the page rail, drag a page to where it belongs, rotate or duplicate it, delete it, insert a blank page or another file, or save some pages as a PDF of their own.

  • See every page at once on a contact sheet, for bigger rearrangements.
2

Your letterhead, on every page or the first.

The letterhead an admin uploaded once goes on as a layer. Choose every page or the first only, and keep the content as it is or fit it between the header and the footer. Take it off, or undo, at any step.

  • Saving, downloading and emailing carry it, and stamps and signatures go on top.
3

Stamped and signed by the right people.

Stamp PAID, APPROVED, RECEIVED or one of eight more, dated the day it goes on. Six of them also come round.

  • Your company stamp and signatures are locked: only the people a super admin names can use them, and every use is logged with the document and page.
4

Black out what others shouldn’t see.

Drag over an account number, a salary or an ID. When you save or export, that page is redrawn with the box burned in, so the words are gone from the file, not just covered.

5

Smaller before it’s emailed.

Reduce size re-saves the pictures inside, such as scans and photos, for reading on screen, for email or for printing. Text and lines stay sharp and selectable. The smaller copy opens as a new document, and the original stays in Recent.

  • Save it to a Library folder, or as the next version of the document you opened, or download it.

From the PDF workbench to the books.

A supplier sends three invoices in one scan. Split into bills suggests where each one starts, reads each part in your browser and matches the supplier by TRN. Then each bill opens in Purchase, one after another, for you to check and save.

  • Scissors between pages start a new bill; Join puts them back.
  • A new supplier is added only when you say so, or matched to one you choose.
  • Nothing reaches the books until you save and post each bill in Purchase.

Also in PDF.

Recognise text

Scanned pages become searchable and selectable, in English and Arabic, read in your browser.

Into Banking

Send a bank statement to Banking. It finds the account by the IBAN printed on the statement and opens the import.

Translate the text

Translate a PDF’s text into Arabic or one of 21 other languages, page by page, through Eagle. Copy it or download it as text.

Notes and highlights

Highlight, draw, add text, notes, shapes and today’s date, with undo at every step.

Several in one .zip

Tick documents in the list and download them as one .zip, each with its changes.

Kept in your account

The files you’re working on are saved to your account a moment after each change: the same list on any computer you sign in on, and only yours.

See your own paperwork on Tamra.

Bring a scanned batch of supplier invoices, or a letter that needs your letterhead. We’ll work through it together at the demo.
