AccountingThe ledger, reports, VAT returns and fixed assets

Every transaction posts here, and the books balance.

Sales, purchases, stock, payroll and expenses each post their own balanced journal entries. The dashboard, the P&L and the general ledger read those posted lines, and any line of the P&L opens down to the entries behind it.

An example company and example figures. The figures count up, the months rise, and the two sides of the balance draw to the same length.

From a figure to the entry behind it.

Palm & Co.’s books in October. Here’s how a number on the dashboard leads back, one click at a time, to the document that made it.

1

The books balance, and you can see it.

The dashboard is worked out from every posted journal line: net income, revenue against expenses month by month, cash and bank. The balance panel draws assets against liabilities, equity and the result so far, on one scale. When the two bars match, it says The books balance; when they don’t, it shows the difference.

2

Every transaction posts its own entry.

An invoice, a bill, a payment, a delivery, a pay run or an expense claim posts its own balanced journal entry. The latest appear on the dashboard with the kind of document that made each one.

  • Most active accounts ranks the ledger by how much has moved through each account.
3

Every entry knows where it came from.

Open a posted entry and it’s read-only, with a badge for its source. Trace shows the chain, here invoice INV-0042 to journal JE-0052, and a click on the invoice opens it.

  • An entry you write by hand posts only when debits equal credits.
4

A P&L you can walk into.

Choose a period and one to compare it with, and every line shows its change. Click any line and the general ledger opens on that account, for the same dates.

  • Expand or collapse the accounts, and export the report as CSV.
5

The ledger behind every figure.

Every posted line on an account, in date order, with the partner, the label and a running balance. A badge shows where each line came from, and an invoice line opens its invoice.

  • Include child accounts or not, set the dates, and export the lines as CSV.

The VAT 201, box by box.

Pick the quarter and Tamra lays it out in the Federal Tax Authority’s boxes, from your invoices, till sales, bills, debit notes and approved expense claims. Each line goes in the box its rate’s VAT treatment points to, and standard-rated sales are reported in the emirate you supply from, as the FTA asks.

  • Above the boxes, one line says whether the return agrees with your VAT accounts, and by how much when it doesn’t.
  • A till sale counts on the day it was rung up, in your company’s time zone, even if it’s refunded later. A till refund lowers the period it was given in.
  • Export for EmaraTax downloads the boxes as a CSV, for you to copy into the portal. Tamra doesn’t submit the return.
  • A supplier abroad’s bill on the reverse-charge rate fills boxes 3 and 10. Tourist refunds and goods cleared through customs, boxes 2, 6 and 7, are yours to enter in EmaraTax if they apply.
  • The FTA Audit File is on the next tab, generated as a CSV in its seven sections.

Also in Accounting.

The statements

Balance sheet, trial balance, cash flow and changes in equity, with aged receivables and payables beside them.

Assets and depreciation

An asset register, and a monthly run that posts each asset’s depreciation, straight-line or declining balance, in one entry. Land is never depreciated.

Other currencies

Invoices, bills and bank accounts in other currencies. Pay a foreign invoice or bill, and the exchange difference posts with it.

Budget against actual

Set an amount per account for the period, and see what’s been posted beside it, with the variance.

A log of changes

Changes to invoices, bills, payments, journal entries, partners and products are logged with who, when and what changed.

Lock the books

Set a lock date, and nothing dated on or before it can be posted, changed or reversed. Corrections go in as new entries.

Bring an invoice and a bill from last month to the demo. We’ll post them and follow each one to the ledger, the P&L and the VAT 201.
