The Customer Portal
The portal is a private page for one customer. They open it from a link — no account, no password — and see their invoices, their statement and the documents you've shared, talk to you, approve quotations and pay online. You see what they do.
Giving a customer access
Open the customer → Portal tab. Choose how long the link is Valid for — a week, a month, three months, or no expiry — and, if you like, a contact name and their email. Then Create the link.
The link is ready. Copy it into a message, or Email it: Tamra sends a short note with an Open your portal button.
A link is made only for one of your own customers (or one shared with your company through Data Sharing), and it records who made it. A customer can have several links — one for their accounts team, one for the owner — each with its own expiry. +30 days, +90 days and No expiry extend a link; Revoke ends it at once. Links that have ended are counted below the live ones.
What your customer sees
The portal carries your logo and has six places:
- Home — what they owe, what's overdue, and the latest from you. Totals are in your company's currency, each invoice at its own rate.
- Invoices — every invoice, advance and credit note, with Open, Overdue, Paid and Credit notes filters. Each opens in full and prints on your letterhead with Print or save as PDF.
- Statement — their running account, the same one you send from Tamra: in your company's currency, refunds and discounts included, and a column with each line in its own currency when any is in another. With search, filters, totals that follow the filter, and Download CSV.
- Documents — quotations and orders in full; quotations can be approved here.
- Messages — the conversation with you.
- Account — the details you hold for them.
On a phone, the six sit in a bar along the bottom.
Paying online
If your company takes card payments (Settings → Integrations → Online payments, see Getting paid), every open invoice in the portal has Pay … online. Each press opens a fresh, secure checkout in a new tab — card, Apple Pay or Google Pay — and pressing again the same day reuses it.
The payment lands exactly like one from a payment link you sent: the invoice turns paid, the fee posts to your bank charges account, and the press shows in the customer's Portal tab.
When online payment isn't possible — switched off, not yet connected, or nothing left to pay — the customer sees Ask for a payment link, which sends you a message, and a line about paying by bank transfer quoting the invoice number.
Approving quotations
A quotation opens in full under Documents. The customer types Your full name, adds A note for us if they like, and presses Approve or Decline.
An approval confirms the quotation; a decline cancels it. Either way the decision, the name and the time are recorded, and a message appears in your conversation with them.
Messages
Messages is one conversation between the customer and your company — the same one you see on the customer's Portal tab under Conversation. A message from your side always goes under the name of the person who sent it. Both sides can attach files; pictures open large, links are clickable, and the customer sees Delivered and Seen. Enter sends; Shift+Enter starts a new line.
Files you send from Documents → Send arrive here too, as file cards the customer can open. A file opens from a fresh link that lasts an hour, and only while the customer's portal link is on: switch the portal link off and its files stop opening too. A customer can attach files up to 15 MB each.
Keeping an eye on it
The customer's Portal tab shows each link with how often it's been opened and when it ends — opened 3×, last 2h ago · ends in 12 days — and an Activity list of what the customer did: opened the portal, viewed an invoice, pressed Pay, approved or declined a quotation.
Common questions
Does the customer need an account? No — the link is the key. Treat it like one: send it only to the right person, and revoke it if it goes astray.
Can a customer see another customer's invoices? No. A link opens exactly one customer's portal.
Can a supplier have a portal? Not yet — the portal is for customers.
If something goes wrong
- The customer says the link doesn't work → it expired or was revoked. Extend it, or create another.
- There's no Pay button → online payments aren't switched on or connected for the company, or the invoice is already settled.
- A customer isn't getting the email → check the address on the link; Email it again, or Copy the link and send it yourself.
